Higher education guidelines for Results Processing Online (RPO) result entry
The aim of this document is to provide a guideline for correct grade use in accordance with Management of results policy and procedure, the Business process manual, and other RMIT policies and procedures outlined at Academic policies – assessment.
Guidelines are for academics and program support staff who enter students’ final grades via RPO in a given semester.
RPO opens when semester ends for most programs, typically week 12 of the semester.
Results entering should be completed by the deadline as per the RMIT staff academic calendar for each semester, typically Friday of week 17.
A result MUST be entered for every student enrolled in a course. Under no circumstances should results be left blank. If it is not possible to enter a final result described in table 1 for a course school staff MUST enter the appropriate interim result as described in table 2. Table 3 provides an explanation for when a result already exists in RPO for a student’s course result.
Please read your course guide to determine the course grades available to enter.

Staff must enter a result for each student in their class and, other than the cases noted below; enter a numeric mark from 0 - 100. (The system will convert into the appropriate alpha grade.) |

Fail grade only Denotes that a student has failed a course by: a) no other numeric grade available for pass/fail grading, b) not submitting any assessment tasks, or c) withdrawing or taking a leave of absence after the deadline for academic penalty date. |
Use of NN Grade: a) When a course has been set up with pass/fail result. Refer to your course guide. b) A NN should be entered for an enrolled student who did not participate in or submit any assessment tasks for the course. (Do not enter NEX, RNF, or leave the result blank). (1) c) Students who have officially taken a leave of absence or withdrawn after the academic penalty date will have a system generated NN (previously this was a DNS result that is no longer available for HE students). This result will be displayed in RPO when grade rosters are generated for the Semester. Schools are not permitted to amend this result. Note: 1. If any work has been submitted and assessed it should be graded and the numeric grade entered. If the student did submit assessable work or did sit the exam(s) but received no credit, the result should be shown as zero. |

Failed mandatory hurdle requirement Denotes that a student has failed a course by not passing a mandatory requirement set out within the course guide. |
Use of NH Grade: This is a fail grade, which denotes, that a student has scored a mark of greater than 50% but has failed the course due to failing a mandatory hurdle requirement. Note: 1. The numeric grade achieved by the student should not be entered for this result Note: 2. Students retaking courses where they have previously achieved an NH result must complete all assessments. Note: 3. NH grade is able to be considered by SPC’s for pass by compensation–where the relevant criteria are met. |

Student progress committee may award a pass by compensation grade in the place of an earned failed grade based on student’s overall performance in a program for a single course in the final semester of study to allow a student to graduate. The rules for use of this grade and exemptions are defined in the Pass by compensation policy. |

(6 month expiry of the interim result – except for thesis enrolment for masters and honours programs which are defined as coursework and which involved a project / minor thesis. Expiry date is not applicable to research programs) |
Use of NEX grades: a) Research programs - are graded with NEX for continuing thesis enrolments only (NOT applicable for coursework components, i.e., Research methods or research strategies courses which will require staff to enter a numeric mark or PX for completed or NN for fail. Refer to course guides). b) Masters and honours coursework programs with a project/minor thesis. Where the thesis is taught over more than one semester NEX is entered for the first semester. When the student receives a final result for the thesis the school must action individual result amendment forms to amend NEX results in previous term course enrolments. |

RNF |
Result not finalised An RNF denotes that the assessment is not finalised. RNF results will be converted to a NN by the Academic Registrar after 3 months from class end date.110 days after the official result release date for the semester to which it applies. The date of this event is published in the academic calendar for each semester. When this occurs Schools are NOT permitted to change that NN back to RNF. The only change allowed will be the entry of the final result. (3 month expiry of the interim result) |
This grade can only be used in the following limited situations: a)Academic delay in finalising the grade b) Where a supplementary assessment has been granted as a result of inadequate evidence to determine whether a student has achieved the academic standard required for a pass level of achievement. Supplementary assessment can only be granted in extremely limited situations as described in the Supplementary assessment policy: Academic Policies – Assessment. c) Where an equitable assessment arrangement is in place. An equitable assessment arrangement can only be granted in accordance with the Equitable assessment arrangement policy: Academic Policies – Assessment. d)For students enrolled in Work Integrated Learning where the assessment cannot be finalised by University deadline for results entry. e) For students enrolled in practical placements / industrial placement / vacation employment where the assessment cannot be finalised by University deadline for results entry. f) For students enrolled in industrial based assessment where the assessment cannot be finalised by University deadline for results entry. g)A project / thesis was not due for submission until the end of the teaching period. __________________________ Important issues to note when using the RNF grade:

You can not amend a WDR grade either on RPO or via an amendment into PeopleSoft. The WDR grade is the correct grade the student should receive. This result will be displayed in RPO when grade rosters are generated for the semester. |

A NN result will be automatically generated by the system where a student has withdrawn from a course (or taken a leave of absence/cancelled program) after the last day to ‘drop’ courses without academic penalty as outlined in the academic calendar for each semester. |
You can not amend a NN grade either on RPO or via an amendment into PeopleSoft where a student has formally withdrawn from a course after the academic penalty date. The NN grade is the correct grade the student should receive. |

Alternative assessments can only be granted via the formal special consideration or an equitable assessment arrangement process. Deferred assessments can only be granted via the formal special consideration process. Where a student has been granted a deferred assessment, the academic for that course, a school administrator and the student will have been notified by the Academic Registrar. Once the student has taken the deferred assessment, the student is entitled to the full range of results for the course. Please note that students who have been granted a re-sit assessment as an outcome of a special consideration application should be given their actual numeric grade and not a DEF. This allows a student to make an informed judgement as to whether they attend their re-sit assessment opportunity. |

Extensions of time can only be granted via the special consideration process by the Academic Registrar for extensions greater than 7 calendar days. When an extension of time has been granted as an outcome of a Special consideration application, the student, course coordinator and a school administrator will have been notified by the Academic Registrar. |

Student does not appear |
A student’s name does not appear on RPO as they have withdrawn from that course (or taken a leave of absence / cancelled their program) prior to census date (i.e. for standard semester classes the census date for 1st semester is 31 March and for 2nd semester is 31 August) |
You can not add the student’s result via RPO or via an amendment into PeopleSoft if the student has withdrawn before the census date. The student should not receive a result as the student is considered not enrolled in this course. If you believe the student has not withdrawn from the course, please advise your program administration staff to investigate if there is a student enrolment issue. |
